When should I use albums instead of folders?

Give folders a stable job

Keep your core folder structure simple and predictable, such as year, month, and event. Folders are useful when you need to understand where files live outside a photo application or when you regularly copy the collection to another location. Avoid creating many competing folder systems for the same photos, such as one set by date and another by family member. A photo needs one dependable home; repeated rearranging makes imports, backups, and later checking harder to follow.

Use albums for overlapping purposes

An album is useful when one image belongs in several meaningful groups: “2025 beach weekend,” “Grandpa’s portraits,” and “photos for the calendar” can all include the same file. Create albums for selections you expect to revisit, show, or share, not for every incidental category. For short projects, a temporary album can gather images for review or captioning. Name albums so their purpose is visible, for example “Mina school photos—selects” rather than a vague label such as “miscellaneous.”

Check how your software handles albums

Before making albums central to your system, determine whether they are local collections, cloud-only groups, or metadata that travels with exported files. Test with a few non-critical photos: put one image in two albums, then look at the file’s original folder and an exported copy. This reveals whether removing an image from an album only changes the album or affects the library itself. Keep a brief note about the behavior of the app you use, especially before moving photos between programs. For long-running projects, add a date or purpose in the album title so similarly named groups do not accumulate without context. This also helps distinguish a finished album from a temporary working selection.
